Oral Presentations
If you are presenting an oral presentation at the Northeast Arc Users Group Conference (NEARC), please review the guidelines below in preparation for your participation:
Presentation Requirements:
NEARC Presentations and Workshops are an opportunity to share experience, expertise, and knowledge with colleagues and offer solutions for successful use of GIS. All attendees, including private sector attendees and vendors, are invited and welcome to provide presentations or workshops that describe a project, process, experience, expertise, management, or best practices related to GIS, as determined by either the NEARC Board of Directors and/or the Host Committee.
Individuals chosen are to present information to their peers in order to gain recognition by their peers, raise awareness of critical issues, and identify current trends in the industry. NEARC Presentations and Workshops are not to be used to market a commercial product or service. Marketing presentations may be given by reserving a vendor booth.

Presentation Procedures:
- The requesting presenter shall complete a presentation abstract to the NEARC Conference Host Committee.
- The Host Committee and/or The NEARC Board of Directors shall notify the presenter as to whether or not their abstract has been accepted. If the abstract is not accepted the Host Committee or NEARC Board of Directors representative shall notify the presenter as to the reason why.
- The presenter may alter their abstract to accommodate the feedback and resubmit.
- Abstracts in the final program may be edited for spelling and grammar, consistency of style, clarity, and if necessary to bring the abstract under the word limit.
- The presenter must agree to a) comply with all NEARC procedures and hotel or conference center rules and regulations during the conference, b) acknowledge their presentations do not represent or imply any commitment, sponsorship, or binding agreement by NEARC or any of the conference attendees, and c) agree to standard NEARC guidelines and timelines.
- All presenters are required to register and pay to attend the conference or their talk may be cancelled.
Presenter Information:
As a presenter at the Northeast Arc Users Group Conference (NEARC), please review the guidelines below in preparation for your participation:
- Schedule: A full schedule of technical talks will be made available ahead of time. Please refer to the Session Grid to confirm the date and time of your session. You will also be contacted in advance by the moderator of your session.
- Timing: Each speaker has 30 minutes, which includes time for Q & A, unless it is a full 1.5-hour workshop or panel discussion.
- AV Equipment: Each room will be equipped with a screen and projector. Speakers and their moderator will coordinate use of a single laptop. Please bring your presentation on a data stick to your session so that it can be loaded on the laptop. Because of the timing of the sessions, there isn’t time between talks to change out laptops or load presentations, so please arrive early.
- Internet: We will make every attempt to provide WiFi available in every room, but it may not be of sufficient strength or speed to support live demos, so prepare screenshots accordingly. Please refrain from streaming videos or other high-bandwidth activities; store them with your presentation if possible.
- Abstracts: Abstracts will be part of the conference program and are also posted on the conference website as links in the session grid.
- Bios: A brief bio is required and should be sent to the session moderator so you can be introduced before your presentation.
Poster Presentations
If you are presenting a poster at the Northeast Arc Users Group Conference (NEARC), please review the guidelines below in preparation for your participation:
SET UP: Posters can be set up starting on Monday at 10:00 a.m. As a poster author you must be available during the social to visit with attendees. Vendor Reception & Poster Social will be held on Monday from 4:15 p.m. – 6:15 p.m. Posters should be removed on no later than 1:00 p.m. on Tuesday. Any posters remaining after 1:00 p.m. will be discarded.
EQUIPMENT/POSTER SPECIFICATIONS: Each poster presenter will be provided with a 4’ x 4’ foam board surface on which to mount their poster. Push pins will also be supplied. The posters have been assigned a number and you will be asked to set up your poster on the board with your corresponding number – the list of posters and numbers will be printed in the Final Program book, so please pick up a copy at the Conference Registration Desk before setting up.
ABSTRACTS: Abstracts will be listed on the conference website and by author’s name.
REGISTRATION: All presenters are required to register and pay to attend the conference.

Suggested Poster Categories:
- Project (Student and Professional) – an illustrative presentation of research and/or analysis; includes an abstract, introduction, methodology, results, etc. along with maps and graphics.
- Cartographic Design (Student and Professional) – a single map product presenting spatial data in a meaningful way; may include textual material and graphics; however, the map is the main focus.
